Required Reporting
Please note that the following information is meant to be used only by Florida State University faculty, staff, students, and potential visitors to Florida State University and only in the context of international visits to FSU specifically. It is not intended to be used and should not be construed as general legal advice.
SEVIS Updates
In the SEVIS (Student and Exchange Visitor Information System) immigration database, it is required by federal law that scholars inform the International Center of certain changes to their program. The International Center is then responsible for reporting changes within a certain timeframe to the immigration database. This process eliminates paper reporting of updates to immigration, but places greater importance on effective and timely communication between the International Center, FSU departments, and scholars. It is important that, if any of the following applies, scholars inform the Exchange Visitor Advisor so that the information may be properly reported to SEVIS as required by Federal law:
- Newly arrived at FSU - check in at the International Center within 10 days of arrival for validation of program, otherwise program will be canceled.
- Any change of address, report within 10 days of move. Current Federal Regulations unfortunately require us to terminate a scholar’s program should they fail to report their address change in this time period. The scholar’s immigration record can be permanently affected, so the International Center attempts to avoid this whenever at all possible by informing both departments and scholars of the requirement.
- Completion of program, permanently leaving U.S., or ending J visa status 30 days or more before program end date.
- Dependents returning home permanently.
- Any legal change of name or other biographical information (i.e. country of permanent residency or citizenship).
- Any change or addition of site of activity, change or addition of department or lab.
- Any change in field of research/work being conducted.
- Any change in funding - different or additional funding source.
- Any corrections required on DS-2019 form.
- Discuss immediately any problems in obtaining or continuing insurance coverage; willful non-compliance or deliberate misrepresentation of coverage results in termination of the J program as required by federal law. The International Center is always available to assist a scholar in gaining compliance with this regulation, though, should they inadvertently neglect to maintain coverage (i.e. forgot to renew in time, company no longer providing coverage, etc.).
- Discuss any changes/questions regarding the purpose of the scholar’s stay, changes to tenure-track positions (not permitted in the J program), additional work or study opportunities for the scholar or their dependents, potential transfers to other programs, application for waivers, or other activities not covered by your current DS-2019 form to ensure compliance with current laws or procedures.
